AI Automation

AI automation for mid-sized companies — automate processes, cut costs

AI is not an end in itself. We use it where it genuinely takes work off your team’s hands — routine tasks, data processing and recurring processes.

The problem we solve

Invoices get typed in by hand. Customer enquiries sit unanswered for hours. Reports are pieced together the hard way. Your staff spend their time on work a machine could do faster and without mistakes.

The questions: Where do you start? What does it cost? Does it actually work — or is it just hype?

We deliver concrete AI systems that work. Not consulting slide decks, but software that is running in daily operations by the end of the project.

What we actually offer

Custom GPTs — AI assistants for your business

Not generic ChatGPT answers, but AI assistants trained on your data.

  • Answer 80 % of routine customer enquiries automatically
  • Analyse contracts and documents in seconds
  • An internal knowledge base for onboarding new staff

Technically: your data, German servers, GDPR-compliant. Nothing is sent to OpenAI unless you want it to be.

Process automation — less manual work, more output

Automating recurring tasks so your people can concentrate on what matters.

  • Invoice processing: automatic capture, matching and approval routing
  • Data transfer between systems: CRM ↔ ERP ↔ accounting
  • Report generation from several data sources
  • Email classification and routing

Tooling: a combination of RPA and AI for the widest possible coverage.

Machine learning — spotting patterns before you do

Data-driven forecasting and pattern recognition for better decisions.

  • Predictive models: machine failure, customer churn, demand forecasting
  • Pattern recognition: anomalies, fraud, quality deviations
  • Data analysis: raw data → decisions you can act on

Honestly: ML needs data. If there is not enough of it, we say so — and suggest alternatives.

Concrete use cases by industry

Manufacturing

  • Reviewing machine documentation: −70 % time spent
  • Predictive maintenance: −40 % unplanned downtime

Retail & e-commerce

  • An AI chatbot handles 400 of 500 daily enquiries automatically

Services & consulting

  • A tax firm cut document classification from two hours to ten minutes per client

Logistics

  • Route optimisation and inventory forecasting
  • Automatically generated shipping documents
  • 15 % less fuel through smarter route planning

How we work — five steps to working AI

1

Understand the processes

We talk to the people who actually do the work. That is where you find out where time is being lost.

2

Prioritise use cases

Every use case is rated by effort, benefit and feasibility. We start with whatever shows an effect soonest.

3

Pilot project

A working prototype in 4–8 weeks. No theory — real tests with real data.

4

Measure and refine

We measure time saved, error rates and ROI. Numbers, not estimates.

5

Scale up

What works gets rolled out to further areas. Step by step, under control.

AI and data protection — no compromises

German servers

All data stays on servers in Germany. Nothing is transferred abroad.

GDPR-compliant

GDPR compliance throughout: documented data flows, records of processing activities, data processing agreements.

EU AI Act ready

Prepared for the requirements of the EU AI Act, enforced from 2026.

No sharing with third parties

Your data is not passed on to third-party providers. Full stop.

On-premise or your own cloud

You decide: solutions can run on your own servers or in your own cloud.

No vendor lock-in

Open standards and interfaces. You stay independent of any single vendor.

What does AI automation cost?

Solution Investment (one-off) Running cost per month
Simple chatbot / custom GPT €5,000 – 15,000 €300 – 800
Process automation (one process) €10,000 – 30,000 €500 – 1,500
Machine learning (pilot) €15,000 – 40,000 €800 – 2,000
Ongoing: cloud + maintenance — €500 – 2,000

A worked example: a custom GPT saves four hours a day. At €45 an hour in staff costs, the investment pays for itself in under three months.

Transparent quotes, fixed price or time and materials — no hidden costs.

Not sure whether AI is right for you?

Not every process needs AI. We give you an honest assessment of where AI automation makes sense — and where it does not.

A free initial conversation, with no obligation. If AI does not fit your case, we will tell you.

Frequently asked questions

Do I need large amounts of data for AI automation?

Not necessarily. For custom GPTs, the documents, manuals and FAQs you already have are enough. Machine learning models benefit from historical data — and if there is not enough of it, we say so and suggest alternatives.

How long until an AI solution is live?

A simple chatbot or custom GPT is ready in 4–6 weeks. More complex process automation or ML models take 8–12 weeks, including a pilot phase and fine-tuning.

Is GDPR-compliant AI possible?

Yes. We use German servers exclusively, document every data flow and make sure your AI systems also meet the requirements of the EU AI Act from 2026.

What is the difference between a custom GPT and ChatGPT?

ChatGPT is a general tool with broad knowledge. A custom GPT is trained specifically on your business — your documents, processes and policies — and runs on your own infrastructure.

What if the AI gets something wrong?

Every AI system starts with a human in the loop: a person checks the results, particularly in the early phase. The system keeps learning and becomes more reliable over time.

Can existing systems (ERP, CRM) be connected?

Yes. We integrate AI systems into your existing landscape via APIs — whether that is SAP, Microsoft Dynamics, Salesforce or industry-specific software.

Let us talk about your processes

Free and without obligation. We look at where time is being lost in your business and tell you honestly where AI helps and where it does not.
